An AI that writes like you, and never sends without you

One button drafts the next follow-up for each person on the list from their latest real conversation, following your written instructions and your default compose style. You review, adjust, press Send — and it moves to the next one.

Made for teams, and for more than one team

Separate profiles keep each team's mailboxes, users and settings apart. Roles decide who can add mailboxes or manage users; presence shows who is reading or replying to a mail right now, with a warning before two people answer the same one; every reply, move and archive carries a who-did-what trail.

Yours to run

UniMail installs on your own server with one Docker command, with automatic HTTPS for your domain. Your mail stays in your own database; mailbox passwords, tokens and API keys are stored encrypted, and sign-ins go through your own Microsoft and Google app registrations. Nightly verified backups, one-command updates.

Follow-up mode & AI

From a pasted list to a green list, one person at a time.

Follow-up mode turns a spreadsheet column of addresses into a working queue in the side panel. The AI button works through it with you.

  1. Paste the addresses

    Copy them from anywhere — a sheet, a CRM export, a mail. UniMail picks out the e-mail addresses and builds your list. It is yours; nobody else sees it unless you share it.

  2. Click a person

    Their button searches every mailbox for the conversation with them and shows it in the reading pane, so you follow up with context, not from memory.

  3. Let the AI draft

    Press the AI button once. For each address it reads the latest real message, writes the follow-up according to the instructions you set, in your default font and colour, above your signature and template.

  4. Review and send

    The draft opens in a normal compose window. Change anything, then Send. Nothing goes out on its own — and Stop pauses the run at any moment.

  5. It turns green — with your initials

    Sent or clicked, the person's button goes green and carries the initials of who followed up. Clicked by mistake? Click again to reset it.

  6. Share the list

    Share with colleagues and everyone works the same queue: a button that goes green for one of you goes green for all of you, live, with no double follow-ups.

The AI follow-up uses your own instructions, your chosen model and key, and your compose style. It stops after two failures in a row and tells you why — it never sends a mail on its own.

UniMail is multi-user from the ground up. Everyone signs in with their own account and sees the mailboxes their profile owns.

Profiles keep teams apart

Run several teams on one server: each profile has its own mailboxes, users, Microsoft and Google app registrations, AI settings and sync schedule. Nothing from one profile is visible in another. A platform administrator creates profiles and resets access without ever seeing anyone's mail.

Roles that match how you work

Super admins run the profile; admins manage mailboxes, users and rules; members read, reply and follow up. Admin-only settings are hidden from members and refused by the server.

See who is on it

Presence shows who is online, who has a mail open and who is already replying to it — and warns you before two people send the same answer. Every message keeps a trail of who replied, moved or archived it.

Your words, global or personal

Quick texts and signatures exist at two levels: shared by the profile, or private to you. Reply templates are yours alone — use one for every mailbox, or a different one per mailbox.

Shared follow-up lists, live

Share your follow-up list with the colleagues who work the same leads. When one of you marks a person done, the button turns green for everyone at once, with that person's initials — and two people clicking at the same instant can't both take the credit.

An activity trail

Sign-ins, user changes, replies, moves and archives are recorded per profile, so a manager can see what happened to a mailbox and when — without reading anyone's mail to find out.

Deployment & security

UniMail is installed on a server you control — a VPS or your own hardware — and never sends your mail through anyone else.

  • Runs as a small set of Docker containers — PostgreSQL, the UniMail service and an HTTPS proxy — with certificates obtained and renewed automatically for your domain.
  • Microsoft 365 and Gmail connect through your own app registrations, per profile; mailbox passwords and tokens are stored encrypted.
  • Profiles are isolated in the database and in the API: no profile can reach another's mailboxes, settings or events.
  • Sessions can be revoked instantly; disabled users are signed out everywhere at once.
  • Nightly verified database backups kept for 14 days; every update takes a backup first, rebuilds, waits for the health check and can be rolled back.
  • Microsoft and Google app registrations are entered in the browser with a connection test — no server files to edit, no restarts. A health endpoint feeds your monitoring.

Your Google & Microsoft data

What UniMail asks for, and what it never does.

When you connect a Gmail or Microsoft 365 mailbox you sign in with the provider and see exactly which permissions UniMail requests. Here is what they are for, in plain words.

What we ask for

  • Google: your account e-mail and name, and full mailbox access (https://mail.google.com/) — the scope Gmail requires for IMAP and SMTP.
  • Microsoft: Mail.ReadWrite, Mail.Send, MailboxSettings.ReadWrite and User.Read, plus offline_access so sync keeps running after you sign in.

What we do with it

  • Show your mail in the unified inbox, keep it searchable, and let you reply, forward, move, flag and follow up.
  • Send the messages you write — including mail-merge campaigns you launch yourself.
  • Store messages and encrypted tokens in the service database only for those features. Disconnect the mailbox and they are deleted.

What we never do

  • Sell your data, use it for advertising, or share it with data brokers.
  • Use your mail to train AI or machine-learning models.
  • Read your mail as staff — except when you ask us to for support, for security, or when the law requires it.

Questions

Straight answers.

Is UniMail hosted by you or by us?

By you. UniMail runs on a server you control (a small VPS is enough) with Docker and PostgreSQL. We provide the installation package, help you set it up if you want, and ship updates you apply with one command.

Which mailboxes can we add?

Microsoft 365 / Outlook mailboxes (through Microsoft's Graph API with a Microsoft sign-in), Gmail (Google sign-in), and any mailbox that speaks IMAP and SMTP with a password or app password. Mix them freely inside one profile.

Does the AI send mail on its own?

Never. The AI drafts; a person reviews and presses Send. The follow-up run pauses whenever a draft is waiting for you and stops itself after two failures in a row, telling you why. You use your own OpenAI key and choose the model.

Can our team keep using Outlook or eM Client as well?

Yes. Everything UniMail does is written back to the real mailbox: drafts appear in the mailbox's own Drafts folder, sent mail in Sent Items, Outlook categories are read and written as colour tags, and moves, flags and read states sync both ways — so Outlook, eM Client and your phone stay in step.

Where does our data live?

In the PostgreSQL database on your server. Mailbox credentials and tokens are encrypted at rest. Sign-ins to Microsoft and Google go through app registrations you own, so no third party sits between you and your mail.

What does UniMail do with our Google or Microsoft data?

Only what you see in the app: it syncs the mailboxes you connect so they show up in the unified inbox, keeps them searchable, and sends what you write. Nothing is sold, used for advertising or used to train AI. Our use of Google user data follows the Google API Services User Data Policy, including its Limited Use requirements — see Your Google data and the Privacy Policy.

How do add-on features work?

You describe what you need; we scope it with you and quote a price; we build and test it as part of UniMail and ship it as a versioned release to your server. It is then maintained as part of UniMail.
