The terms for using UniMail.

These terms are an agreement between you (or the organisation you represent) and Inboxars (“we”, “us”) for the UniMail hosted service at mail.inboxars.com and the website inboxars.com. By creating a login or connecting a mailbox you accept them.

1. The service

UniMail is a web-based e-mail client that brings mailboxes from Microsoft 365, Google and IMAP providers into one shared workspace, with team features (follow-up lists, presence, assignments, notes), optional AI drafting, and mail-merge campaigns. We provide the hosted version of UniMail described on the website and in the app, and update it from time to time. Features may be added, changed or retired; we will give reasonable notice of changes that remove a capability you rely on.

2. Accounts and profiles

A profile is a private workspace for one organisation. The person who creates it is its administrator and may add users, connect mailboxes and assign roles. Administrators are responsible for who they give access to.
You must give accurate information, keep your password secret, and tell us promptly at privacy@inboxars.com if you suspect your login has been compromised.
You must be at least 16 years old and, if you act for an organisation, authorised to bind it to these terms.

3. Connected mailboxes

You may only connect mailboxes you own or are authorised to use. When you connect a Google or Microsoft account you grant UniMail the permissions shown on the provider's consent screen; you can revoke them at any time from that provider and disconnect the mailbox in Settings. You are responsible for complying with your mail provider's terms (for example the Google Terms of Service and the Microsoft Services Agreement) and with your organisation's policies.

4. Acceptable use

You agree not to use the service to:

send unsolicited commercial e-mail (spam), or any message that is deceptive, harassing, unlawful or infringing;
send mail with forged headers, misleading sender information or a misleading subject line;
distribute malware, phishing content or material you have no right to distribute;
attempt to bypass provider sending limits, abuse controls or the service's own limits, or to access data of other profiles;
probe, scan or disrupt the service or its infrastructure.

We may suspend a login, a mailbox connection or a profile immediately if we reasonably believe it is being used in breach of this section, and we will tell the administrator why.

5. Mail merge and bulk mail

The mail-merge feature sends one personalised message per recipient from a mailbox you connected. When you use it you confirm that:

every recipient has consented to hear from you or you have another lawful basis to contact them, as required by the laws that apply to you and your recipients (for example the CAN-SPAM Act, the GDPR and ePrivacy rules, CASL, or India's IT Rules);
commercial messages identify who is sending them, contain your organisation's valid postal address where the law requires one, and offer a working way to opt out, which you will honour promptly;
you will not upload recipient lists you obtained unlawfully or that contain people who have opted out;
you will stay within the sending limits of your mail provider. UniMail paces campaigns and enforces per-mailbox caps, but the provider's limits and reputation rules remain yours to respect. The feature is not designed for, and must not be used as, a way around those limits.

You are solely responsible for the content of your campaigns and for complaints, bounces or reputation consequences that result from them.

6. Your data

Your mail, contacts, lists, templates and campaign data remain yours. You grant us only the rights needed to host, process, back up and display them in order to run the service for you.
Our Privacy Policy describes how we handle personal data, including Google and Microsoft user data. Where we process personal data on behalf of your organisation we do so as a processor under its instructions; a data-processing agreement is available on request.
You can export your data (mailbox backups in standard formats) from the app at any time and can delete it by disconnecting mailboxes or asking us to close the profile.

7. Third-party services

The service depends on your mail providers (Google, Microsoft, IMAP/SMTP hosts) and, if your administrator enables AI features, on the AI provider whose API key they entered. Those services are governed by their own terms, and we are not responsible for their availability, changes or decisions (for example a provider suspending a mailbox for exceeding its limits).

8. Fees

Prices, plan limits and billing periods are those agreed in your order or shown on the website at the time you subscribe. Fees are payable in advance and are non-refundable except where the law says otherwise. We may change prices with at least 30 days' notice before your next billing period.

9. Availability and support

We aim to keep the service available around the clock but do not guarantee uninterrupted operation; maintenance, provider outages and events outside our control can cause downtime. We take nightly encrypted backups. Support is provided by e-mail at sales@inboxars.com during business hours.

10. Termination

You may stop using the service at any time and ask us to close your profile. We may terminate or suspend the service for breach of these terms, non-payment after notice, or if we discontinue the service (with at least 60 days' notice). On termination we delete your data as described in the Privacy Policy; you can export it beforehand.

11. Warranties and liability

The service is provided “as is”. To the extent permitted by law we exclude all implied warranties, and our total liability to you for any claim in a year is limited to the fees you paid us in the twelve months before the claim. We are not liable for indirect or consequential loss, loss of data caused by your mail provider, or consequences of your own campaigns. Nothing in these terms limits liability that cannot be limited by law.

You will indemnify us against third-party claims arising from content you send through the service or from your breach of section 4 or 5.

12. General

Changes to these terms. We may update these terms; material changes are announced in the app or by e-mail at least 14 days before they take effect. Continued use after that date is acceptance.
Governing law. These terms are governed by the laws of India, and disputes are subject to the courts of the place of our registered office, unless mandatory consumer law says otherwise.
Entire agreement. These terms, your order and the Privacy Policy are the whole agreement between us for the service.
